Most small companies start the same way: Excel for tracking, WhatsApp for talking to customers. That is fine. The mistake is growing while the tools stay the same. The question is not “what is the newest CRM”. It is CRM or Excel at today’s volume.
Excel is excellent when the list is small and one person owns the sheet. The pain starts when two people edit at once, a follow-up is missed because a column is hidden, or a manager asks for this week’s leads and the answer is two hours of copy-paste.
WhatsApp is excellent for fast replies. It is a weak record. Messages vanish, numbers get mistyped, and there is no stage: new, follow-up, proposal, closed. A CRM is not always a chat replacement. It is the record chat should point to.
Signs you need a customer system: duplicate names, promised follow-ups that never happen, a new hire who cannot pick up a colleague’s work, and a sales report built from memory. At that point a CRM for the company is not a colourful dashboard. It is one source of truth.
Off-the-shelf tools look fast. They are often full of fields you will never use. A custom CRM means stages, fields, and permissions match how you sell. Sales sees their work. Management sees the numbers.
Example: a services office gets requests from a website and from WhatsApp. Without a system, requests fall between the two. With a simple CRM, the form becomes a lead, the follow-up becomes a dated task, and closed work shows up in the weekly report.
Do this before any automation: a contact and lead record, editable stages, tasks, permissions, and a report from the same data. Then a WhatsApp or email notice can help. Automating a messy sheet only speeds up the mess.
The real cost of Excel is not a Microsoft licence. It is deals that went quiet because someone forgot. Compare that to a month of real work, not a demo day.
